Role Profile

Working as part of a specialist, hardworking and enthusiastic team, the role is desk based and involves taking responsibility for managing the team’s order pipeline within your specialist area. You will monitor and action all orders from inception to when the order is complete and ready to bill. This involves placing simple orders with suppliers but also managing more complex orders that are delivered by other parts of the group. You will be expected to maintain an elevated level of customer care whilst supporting customers and the Group with their hardware, software, network, security, connectivity and voice orders.

Day-To-Day Responsibilities

  • To take full responsibility for ensuring all orders are processed in line with company policy.
  • Responsible for monitoring and progressing all new orders through to billing via PSA system.
  • Ensuring all orders have the correct information before converting to a ticket or project.
  • Ensuring all purchasing is completed following the group purchase order process.
  • Maintaining contract data within the PSA for all customers across the group.
  • Liaise with Account Managers if additional information/equipment required.
  • To manage ‘simple orders via our approved suppliers ensuring timely delivery and billing.
  • For Project based orders, ensuring the order is converted and passed to the correct Project Manager.
  • Monitoring projects and ensuring the order is closed for billing once the project is completed.
  • Adding/updating the Agreement information in PSA so this information is accurate
  • Ensure any changes to orders are reflected in PSA i.e. product changes
  • Work with Group Procurement to ensure product pricing in PSA is accurate.
  • Report progress and issues affecting the customer if orders are delayed.
  • Deliver an exceptional customer experience.
  • Assist with onboarding of new acquisitions to ensure they operate to agreed standards and processes.
  • Ensure Post Sales activities are carried out (this will be ensuring Proof of delivery notices are obtained, the warranty info is recorded, goods are entered as assets etc)
  • Subscription Renewals (although AT will notify account managers, someone should still remind account managers)
  • Inventory Management – be the overall manager responsible for Inventory Management (with the assistance of onsite personnel who look after inventory)
  • Provide cover of SOP’s during sickness/leave if required.

Key Role Specific Tasks

  • Sale to Cash – Managing Sales Order Processing.
  • Delivery Forecast – Ensure CRM is completed accurately for monthly forecast reports.
  • Order Validation – Accept or Reject orders in line with Company policy.
  • Stakeholder Updates – Develop relationships with the Account Management and Delivery teams.
  • Supplier Relationships – Develop relationships with key suppliers.
  • Process Adherence – Follow all processes and procedures that are put in place which may change from time to time.
  • System Updates – Always keep systems up to date and accurate.

Qualifications & Experience

  • Competent in use of Microsoft / Office 365 .
  • Experience of working in a fast paced technology driven environment.
  • Experience in the telecoms / IT (MSP) industries would be advantageous.
  • Knowledge of Strategic Imperatives advantageous.
  • Knowledge of Ethernet quoting tools advantageous.
  • Highly numerate with an analytical approach.
