Winchester College, established in 1382 by William of Wykeham, stands as one of the world’s most renowned and distinguished educational institutions. Its guiding motto, “Manners Makyth Man,” though centuries old, resonates with a surprisingly modern spirit.

At the helm of the ambitious and transformative IT improvement initiative is Lawrence Beech, Winchester College’s Director of Information Technology.

“Over the last five years the School has progressively developed the digital landscape to provide a modern learning environment for our pupils and teaching staff. Case Study: The Oaks Specialist College

 The Oaks Specialist College is a Microsoft Showcase College!

Overview of the college

The Oaks is a specialist college for 18-25 year olds with learning difficulties in Kent and East Sussex. The not-for-profit organisation was established in 2018 to follow learners as they graduate from special schools and aid their transition into adult life, by providing them with a tailored study program to meet their individual needs.

The college has demonstrated inspirational guidance and provided incredible opportunities to improve independence for local young adults with learning difficulties through a progressive digital framework. This has led Microsoft to recognise and award The Oaks the prestigious status of being labelled as a ‘Microsoft Showcase College for 2022-23’ (the only SEND Showcase College globally!)

The beginning of Digital Transformation

Throughout their digital transformation journey, the college has focused on the Specialist Further Education sector and their leadership within this area. Their vision, “to develop digitally empowered young people who have autonomy over their independence”, came to fruition once the college integrated digital transformation into their education transformation plan.

Inevitably, The Oaks found themselves in a position of uncertainty when the national Covid lockdown commenced. The way of teaching their students had to move to remote learning in order to fulfil their learners’ goals and aspirations.

The use of Microsoft Teams became a catalyst to their successful digital transformation journey with the ability to use sign language, body language and visuals through the online video meeting system. The learners’ positive response from the integration onto online learning allowed for the college to exploit Microsoft’s digital services to further develop the future employment and independent potential of their young people. This led to the progression of the day-to-day curriculum with the emphasis on encouraging using accessibility features such as immersive reader, translator and Flipgrid.

 

 

Having rapidly discovered the impact of beginning a digital transformation journey, the team at The Oaks focused on the Microsoft Showcase Schools program and maximised the encouragement, support and opportunities the program and framework give.

This opportunity allowed the college to progress their educational transformation further through developing skills, knowledge and digital behaviours in their learners and their staff, sharing best practice and ideas with others along the way.

 

Introduction to Microsoft Showcase Schools

Microsoft Showcase Schools are a global community of schools using digital transformation to create immersive, inclusive experiences that empower students to achieve more. Each school that enters the program identifies their place on the Showcase School Rubric and makes a conscious effort to leverage their education transformation framework with support of Microsoft.

The Oaks Specialist College were eager to participate in this program because…

“When we investigated the ways to make long-term systemic digital change we wanted to do it in a structured manner, and in a way that was based on research. When we settled on using the Education Transformation Framework we felt that we would benefit from the support and guidance Microsoft provide to setting in their Showcase program. The guidance and support when we were an Incubator College allowed us to benefit from the experiences of others and seek advice using the Microsoft Showcase community”

Application process

The college started their digital transformation process with Microsoft in July 2021, when they applied to be an Incubator school (and were the first 18-25 SEND specialist college to do so).

Before earning the prestigious status of being a ‘Showcase College’, The Oaks had to successfully complete the ‘Incubator’ period to prove their dedication to evolving their digital framework. Within this period, they met 6 criteria:

To adapt these criteria around their learners’ needs, the college introduced new processes and embedded digital skills holistically across their curriculum.

The college recognised the assisted approach their learners needed in order to fulfil their highest potential. The innovative approaches to learning they adapted included the migration to OneNote, allowing learners to access their materials within and outside their college environment, a ‘60SecondCPD’ to coach and mentor learners with a 60 second video to lower anxiety surrounding change and Microsoft’s product, ‘Lens’, as a form of assistive technology to best cater access to written work.

 

 

The incubator program runs up to two academic years however The Oaks graduated from this after just one year! The college stood out for this status by being amongst a few in their incubator group to graduate and be accredited after just one year, with others remaining in the incubator program for a second year.

Getting accredited

The transformative work of the college left Microsoft with no hesitation to award The Oaks as a Microsoft Showcase School in 2022. Their ability to innovate their learners’ platform and lead the future pathway of educational transformation makes the college deserving of this highly respectable status.

What is next for The Oaks College?

Despite the exceptional work they have done, this is only the beginning of The Oaks’ digital transformation journey. The college have numerous projects planned for the upcoming years, with a particular focus on expanding into new settings of digital strategy to develop further accessible technologies with their learners. They have begun this by setting up a flat with smart home technologies for the learners to utilise and become more autonomous.

Wellington College wanted to take their cyber security to the next level whilst maintaining a seamless easy to use learning environment for pupils and staff.

THE CHALLENGE

When Wellington College needed to enhance their e-safety, they focused on improving the web fi ltering they had in place and how to take it to the next level. On-line safety for under 18’s is not just about blocking the obvious things, it’s about protecting the innocent. Being alert to issues before they become an actual concern is essential.

The chosen solution had to integrate with other security applications the school had in place. And it was essential for users to have just one username and password allowing them to log into all services and access the web transparently.

Wellington College is a Microsoft Showcase School with a “Choose your own policy” resulting in a broad range of devices that need to be protected.

THE SOLUTION

Wellington College required a secure web content filtering software that was simple to integrate with their current IT infrastructure, and scaleable with their proactive IT policy.

Although exceeding legal cyber safety requirements, Wellington College wanted to be a leader amongst their peer schools in the HMC. inTEC EDUCATION conducted vulnerability and penetration testing of the existing cyber security infrastructure to prove it was robust and highlight any vulnerabilities that needed to be addressed.

iBoss was the ideal solution to address the challenges of e-safety and cyber bullying protection. It also identifies network infections so Wellington College can effectively respond and mitigate threats in real time to prevent data loss or exploitation. inTEC EDUCATION helped to set up rules based web access that enables access to specific content for
selected users, based on the role or position within the school. Installation was swift and seamless, meaning the single sign on vision was delivered quickly and effectively.

THE OUTCOME

Feedback from Wellington College states they can now be much more proactive and they feel confident knowing they have this extra line of security in place. Regular e-safety committee meetings review live iBoss dashboards and reports, heading off issues before they become a problem.

From start to finish, this was a quick and seamless implementation for Wellington College. This was important because was a lot of focus from senior staff to ensure this high profile project delivers the highest standard of on-line protection for pupils.

Case Study: The John Lyon School – Technology Infrastructure

The John Lyon School is partnered with Harrow School and based nearby in Harrow on the Hill. John Lyon School needed to make significant updates to their technology infrastructure

THE CHALLENGE

It was identified that there were noticeable problems with the Wi-Fi connectivity around John Lyon School. Certain areas were suffering poor or no connection. This was frustrating for the teachers as it disrupted their workflow.

These black spots meant that teachers were losing connection when moving from room to room around the school. This delayed lesson start times as teachers attempted to reload their windows and documents.

THE SOLUTION

inTEC Education carried out an infrastructure survey and a Wi-Fi survey to find the areas that needed improvement. This allowed a plan to be put in place for upgrades to the existing fibre infrastructure to be rolled out.

THE CHALLENGE

When Parkside School needed their original computer network and IT systems set-up, they engaged inTEC EDUCATION to scope and deliver the implementation. In addition to the core IT requirements, inTEC EDUCATION delivered all the cabling and AV systems.

But when it comes to the provision of ongoing support services, it was not an automatic decision for Parkside to award the contract to the same company that had done the implementation. Their normal process is based on detailed research and personal recommendation from other schools.

More importantly, they have high expectations of a company that replies very quickly to requests and quotes, and will collaborate with proactive suggestions for improvement – not just respond to issues and answer questions.

THE SOLUTION

inTEC EDUCATION implemented a Managed IT service, reporting directly to Parkside’s Head of IT.

Support engineers visit the school on a weekly basis to carry out planned maintenance and pro-actively review the school systems, while a ticketing system has been implemented that allows teaching staff to raise support requests. Using the management dashboard, Parkside can assign tickets to engineers and always have a current view of workload and priorities.

Ibstock Place School is an independent co-educational day school for pupils aged 4 -18 located in Roehampton, south-west London. Ibstock Place School needed to widen their network infrastructure.

THE CHALLENGE

Robert Gorrie, Director of Innovation and Strategic Projects at Ibstock Place School, outlined problems with limited network reach within their sites with the school working predominantly within dedicated IT rooms.

Consequently, the return of pupils after the Covid-19 pandemic left the school with a restricted reach of technology within their services with the right power, data and Wi-Fi signals.

THE SOLUTION

inTEC Education carried out a network infrastructure audit which consisted of a Wi-Fi survey. This survey mapped out areas of the campus which were most suited to technology and areas which required investment to improve. From this audit, the school could liberalise ways to incorporate technology across the whole campus.

These services have allowed Ibstock Place School to exploit advanced project work for their staff and pupils. The development of their Innovation Centre offers pupils the space and resources such as a green screen area, interactive displays and a podcast studio. inTEC supports the school with these programs and is working to roll out a pupil 1-to-1 scheme.

Colfe’s School is a co-educational private day school in the London Borough of Lewisham, for girls and boys aged 3-18. Colfe’s School needed to make significant updates to their technology infrastructure.

THE CHALLENGE

With a legacy network and IT infrastructure in need of a complete overhaul, Colfe’s School were facing a critical challenge with outdated IT that didn’t support the daily needs of staff and pupils.

Computers would regularly crash and the email system would hang four or five times a day. Printers were not networked or properly configured, meaning staff couldn’t print across campus.

The network was only kept running with customised fixes and patches, using bespoke scripts and code known only to the network manager, who’d recently left. This left Colfe’s with a complex, unstable and potentially unsupportable IT infrastructure.

They wanted a Service Level Agreement that ensured if there was a problem then staff knew it would be fixed.

THE SOLUTION

inTEC EDUCATION were engaged to undertake a full audit of the Colfe’s School technology infrastructure.

This was a comprehensive review of both core IT (IT suites, servers and networks) as well as other learning technologies including audio visual and whiteboards. A detailed report highlighted priority recommendations and alerts, with a fully costed roadmap to aid budgeting and planning essential changes to yield the greatest impact.

As a result of the audit, inTEC EDUCATION were selected to deliver the infrastructure refresh. Major upgrade programs can be a bumpy ride, so inTEC EDUCATION worked with Colfe’s to proactively manage the pain and help teachers and pupils alike with individual requirements. Colfe’s had effectively put in an entire new infrastructure, which was transparent to staff who still had the same PC’s on their desks. But behind the scenes everything had changed.

THE OUTCOME

inTEC EDUCATION fully manages the school IT infrastructure, that delivers a blend of cutting-edge and traditional technology solutions, including servers, networks, WiFi, Cloud, cybersecurity, remote learning, as well as cabling and infrastructure when it comes to building and development work.

Colfe’s School urgently needed to adopt and implement a ‘live lessons’ remote learning platform in response to the coronavirus pandemic that resulted in the majority of pupils being sent home.

THE CHALLENGE

Colfe’s School had existing remote learning systems available to them, providing them with the ability to set tasks and for pupils to submit their work for assessment. But these were not coping with the huge increase in usage resulting from pupils being at home during the coronavirus pandemic. Additionally, the school urgently needed help to facilitate ‘live lessons’ which pupils could access and interact with on a real-time basis, providing them with a ‘virtual classroom’ experience.

THE SOLUTION

inTEC EDUCATION worked with the school to fast track Microsoft Teams. This included the initial configuration and subsequent customisation so that all classes were setup ready for teachers and pupils to use.

Cheam School have made great progress in moving many systems and services to the Cloud. They wanted the reassurance that they were protected from any possible data loss, data corruption or ransomware in an online world where traditional on-premise backup systems are less relevant.

THE CHALLENGE

In recent times Cheam School have embraced ‘The Cloud’, both for administrative and for teaching and learning systems. This included moving their primary school information system fully online, plus making full use of the wide portfolio of applications provided with Office365.

With this new reliance on the online world, Cheam School understood that they still needed to ensure that school data is safe from loss or corruption. There are some recovery tools in Office365, but these do not provide the level of protection the school needed.

THE SOLUTION

inTEC EDUCATION helped the school to put in place a new advanced backup and recovery system that was itself cloud based. It was setup within an hour and provided protection for Office 365 applications plus the school’s few remaining onsite servers and files.

The new system provides comprehensive ransomware protection with the use of innovative air-gap technology. It also provides advanced emergency data access facilities that exceeded what was previously possible with an onsite backup system. Being fully cloud based, there is a management console that can be accessed from anywhere in the world.

Cheam School are now able to focus on education with the reassurance that their data is protected from accidental or malicious loss.

Case Study: Eton College

High Performance Campus WIFI Upgrade Case Study

THE CHALLENGE

As Eton College has moved from a wired network to wireless infrastructure & applications, the infrastructure needs to continually evolve to stay ahead of usage demands.

As a boys’ boarding school, Eton is home to 1,300 students who join at age 13 and continue until age 18. With teaching staff also living on campus, school operations never stop. Eton has four hundred buildings and all major technology systems, school-provided desktop computers, laptops, and audio-visual equipment are connected via the core network that also powers Eton’s wireless infrastructure

In the past three years, boys have increasingly arrived at Eton with multiple devices— usually a minimum of laptop, tablet, and smartphone—and they expect a robust wireless network. Delivering high-quality Wi-Fi across many different environments on campus is challenging. Students and teaching staff need reliable connections in both classrooms and boarding houses.

With a cloud-based Virtual Learning Environment, use of video and wireless in classrooms, online access to college systems and an IP phone system, Eton College required a high-performance wireless infrastructure.

THE SOLUTION

The wireless network originally started with 100 access points, but every boy has his own room so the number of rooms, walls and doors makes it difficult to deliver uniformly good coverage and high capacity.

Eton also has rigorous privacy, security, and online safety policies. Its robust physical security network includes networked video surveillance cameras, and it recently enhanced already-strong online safety measures in line with recent government requirements to protect children from harm online—including cyber bullying, pornography, and the risk of radicalisation.

As inTEC EDUCATION expanded the wireless network from 100 to 700 access points, growing volumes of high-speed wireless traffic taxed the existing wired infrastructure so inTEC EDUCATION implemented Ruckus ICX® Switches to relieve bottlenecks and ensure high-speed connectivity for wireless traffic across campus. Deploying Ruckus Cloudpath software for online security and policy management enhanced online security, and iboss Cybersecurity ensured uniform protection across network and cloud deployments.

Eton College now has a strong, reliable Wi-Fi network, meaning that boys can quickly connect to Office 365 and work. Faculty and staff can work without being slowed by their network, supporting Eton’s mission to provide a broad-based education that enables all boys to discover their strengths, and make the most of their talents within Eton and beyond.
